PRELIMINARY STATEMENT
This Privacy Policy describes how SoloTrueJobs.com LLC ("SoloTrueJobs.com," "we," "us," or "our") collects, uses, shares, and retains personal information in connection with the SoloTrueJobs.com platform, and the choices and rights You have. It applies to every user type: Job Seekers, Solo Recruiters, Recruiting Agencies, Businesses, and seat occupants. It is part of the Agreement described in the Master Terms of Service.
The most sensitive data involved in verification (your government ID images, your biometric data, your Social Security number) is captured directly by our verification partners and stays with them. It is never stored on our systems. We store your account, your profile, and status flags, including the status of each item you submit for verification. This Policy names the partners and tells you what each one holds.
SUMMARY OF PRINCIPAL TERMS
- Identity verification is performed by VerifiNow (government ID, selfie, liveness). Credential verification is performed by Checkr (work history, education, licenses). Business identity verification is performed by VerifiNow. Payments are processed by Stripe. Each is named in Part IV.

I. SCOPE
SoloTrueJobs.com LLC is a Florida limited liability company. We operate the SoloTrueJobs.com platform (the "Platform"). "You" and "Your" mean the person whose information we collect; "we," "us," and "our" mean SoloTrueJobs.com LLC; and other capitalized terms have the meanings given in the Master Terms of Service. This Policy applies to personal information collected through the Platform, through our communications with You, and from our verification and payment partners in connection with Your account. It does not apply to the practices of other Users (for example, how a Business handles an application You submit to it), which are governed by their own policies and by law.
II. INFORMATION COLLECTED
We collect what you give us, what the platform records as you use it, and what our partners report back to us about verification. Here is the full list.
A. Information Provided by You
(a) Account information: name, email address, phone number, password, street address with any unit number, state of residence and ZIP code, and, for Businesses and Agencies, entity name, address, website, email domain, administrator and seat occupant names and roles, the email addresses of the people You invite to a seat, and the entity's EIN, which we pass to VerifiNow for business identity verification and do not keep.
(b) Signup information: Your answer to "How did you hear about us?" (and what You typed if You chose Other), and the referral or promo code if You gave one.
(c) Profile information: the canonical profile fields described in the Terms for Your user type, including work history, education, licenses, skills, the About Me text, a LinkedIn address, and a profile photo You upload. For Solo Recruiters, the employers of the last three years You list for verification (company name, Your position, type of employment, start and end dates, and location).
(d) Postings, applications, messages, feedback, honor statements, and other Content You submit.
(e) Payment information: Your payment card and billing address are collected and stored by Stripe, our payment processor; we receive Stripe's reference numbers for You and Your subscription, the plan, its status and dates, and whether the verification fee is paid, never the full card number. For a Job Seeker's purchase of a paid plan, Stripe collects the full billing address; if it is in a state where paid plans are currently offered, we keep nothing from it; if it is not, the payment is refunded and the plan is cancelled, and we keep only the state and country of the billing address in the refund record described in Part II.B(e). If the state of the billing address cannot be read, or it is a military address, the purchase is not stopped, and our application log records the state given and, if it cannot be read, the country.
(f) Communications with support, revision claims, disputes, and refund requests.
B. Information Recorded Automatically
(a) Acceptance records. Each time You accept the Master Terms, this Policy, the key terms of a purchase at checkout, the recurring charge agreement, the rules of a free verification code, the results of Your verification, or a job posting attestation, we record the date and time, the IP address, which document and which version, a fingerprint of the exact text shown to You, the Terms version in force at that moment, and where on the Platform it happened. A checkout record also holds the plan and, for a Job Seeker, the state of residence confirmed there. A recurring charge record also holds the price, the date the charge starts, and which paragraph was shown.
(b) Signup record. When You create an account we keep a record holding the signup information in Part II.A(b), the state and ZIP code You gave, the metro area the ZIP code falls in, when You signed up, the IP address and browser Your signup came from, and how You arrived before signing up: which page You landed on, the name of the site that sent You there if Your browser said, and the campaign tags on the link You followed or the campaign address You used, if any. If You, or an organization You own, buy a package that includes verification, it holds the time of the first such purchase. It never holds Your street address. We keep it to learn which advertising and referrals bring people to the Platform and which lead to a purchase; reports made from these records show totals only.
(c) Arrival cookie. On a visit You make while not signed in, we set a cookie that remembers how You arrived (landing page, referring site, campaign tags), described in Part XI.
(d) Daily activity record. For every signed-in account we keep one record for each day You use the Platform (the day in US Eastern time), holding how many requests You made that day, in how many different minutes of the day the Platform heard from You, and when You were first and last seen that day. Opening a page or sending a form counts as a request. After that, a page reports activity only while it is in view and You have clicked, typed, touched the screen, or turned the mouse wheel in the last five minutes; a page left open on its own adds nothing. The record holds nothing else: not the pages You visited, not Your IP address, and not Your browser. It is recorded for every signed-in account in the same way and is the usage measurement behind the No Match Refund in the Job Seeker Terms.
(e) Refund record for a stopped purchase. When a Job Seeker's purchase is refunded and cancelled because the card's billing address is outside the states where paid plans are offered, we keep a record holding only the state and country of the billing address, the state of residence You gave us, the plan, the amount paid, whether it was refunded and when, whether the plan was cancelled, when the purchase was stopped, and references for the checkout, the plan, the payment, and the refund.
(f) Free verification code records. For each code we send: the email address it was sent to, whether it is for Job Seekers or for Recruiters and Businesses, which month's allowance it counts against, which staff member sent it, when it was sent, the date until which it can be used, and, if our email provider refused the email, when. The code itself is not kept, only a fingerprint that lets us recognize it when entered. Once entered, the record also holds which account entered it and when. When You start a checkout with a free verification, we keep a record of the checkout it is held for, the plan, which code or allowance it came from, the payment processor's reference, when the checkout started and until when the free verification is held, and whether the checkout completed.
(g) Profile status records. For a Job Seeker, each time You deactivate or reactivate Your profile, we record which You did, when, and the IP address the request came from.
(h) Verification notice records. Where a result of Your verification is not clear and we send You a notice before changing anything on Your profile, and another if we do, we record which notice it was, when it was sent, which version of "A Summary of Your Rights Under the Fair Credit Reporting Act" came with it, the date until which nothing would change on Your profile, and, for each employer, school, or license covered, which entry on Your profile it was and its name as it appears there. The record holds nothing from the verification report itself.
(i) Platform activity: applications submitted, invitations to apply, requests to be told when a role reopens, messages sent and received, and clock and queue events, as needed to operate the features described in the Terms.
(j) Device and browser information for security and troubleshooting: our web server's log of each request (the IP address, the time, the address requested, and the browser); our application's own logs of events, which record the account identifier and the kind of event and, for a failed sign in, a digest of the email address typed; and short lived counters of sign in and form attempts, kept by IP address, by the email address typed, by account, or by organization and deleted about a day after their last use.
(k) Waitlist entry. If You are a Job Seeker and the state You give, at signup or later, is one where paid plans for Job Seekers are not yet offered, we put You on a waitlist. Your entry holds that state, when it was written, and when it was last changed, and is linked to Your account. We keep it to know which states to open next.
(l) Working records: Your email preferences; fingerprints of the links we email You to confirm an address or reset a password; Your requests to edit a locked profile; the reference numbers of the events our partners report; and Your sign in sessions.
C. Information from Partners
(a) From VerifiNow: the result of identity verification (pass or fail), the progress of the check, and reference numbers, and, for Businesses and Agencies, the result of business identity verification. We do not store the identification document, the selfie, the liveness data, a name, or a date of birth from VerifiNow.
(b) From Checkr: for Job Seekers, the result for each of the credentials You submitted (work history, education, licenses), with each item marked verified or not verified, the status of any dispute, the progress of the check, and Checkr's reference numbers; for Solo Recruiters, whether each employer You listed was verified, the progress of the check, and Checkr's reference numbers, and nothing else from Checkr's report.
(c) From Stripe: payment confirmations, declines, refunds, and dispute notices.
(d) From Google, if You sign in with Google: Your name, Your email address, and Google's confirmation that the email address is verified. We keep the link between Your account and Your Google account, with the time of Your last sign in through Google and the access token Google issued for it.
We do not store government ID images, biometric templates, or Social Security numbers from any partner, and we do not receive any criminal history information from any partner.
III. INFORMATION NEVER COLLECTED
SoloTrueJobs.com never requests, obtains, or reviews criminal history searches of any kind, for any user type, at any tier. Our verification partners are instructed not to perform them for us, and our integration with Checkr is configured to exclude them. Verification is not an investigation of character or history, is not an endorsement of any person's safety, character, or suitability, and is not a substitute for any screening an employer is required or chooses to perform. We also do not store Your device's location, do not ask for or read a date of birth, do not collect information about race, ethnicity, religion, health, sexual orientation, or political views, and do not infer such characteristics.
RULE: No criminal history searches, ever. No ID images, biometrics, or Social Security numbers stored on our systems, ever.
IV. VERIFICATION AND PAYMENT PARTNERS
Three companies do work for us that touches your data. Here is who they are, what each one holds, and what we hold. The sensitive pieces stay with them.
VerifiNow. Role: identity verification (government ID, selfie, liveness) and business identity verification (eKYB) for Agencies and Businesses. What the partner captures and holds: government ID images and data extracted from them; selfie image; liveness video or frames; facial geometry template derived for matching; the device, IP address, and location details recorded during the check; for entities, registry data. Retained under VerifiNow's published retention schedule and the biometric terms in Part VII. What we hold: pass or fail result and reference numbers; entity verification result; verification status flags; the progress of the check.
Checkr. Role: credential verification (work history, education, professional licenses); a consumer reporting agency. What the partner captures and holds: the credentials You submitted, the sources contacted, the responses, the verification report it makes available to You, any Social Security number or other identifier You provide to Checkr for matching, and dispute records. Retained under Checkr's retention schedule and the Fair Credit Reporting Act. What we hold: for Job Seekers, item level status flags, dispute status, the progress of the check, and Checkr's reference numbers; for Solo Recruiters, whether each employer was verified, the progress of the check, and Checkr's reference numbers.
Stripe. Role: payment processing. What the partner captures and holds: payment card numbers, billing address, and transaction records, under Stripe's privacy policy and PCI DSS. What we hold: Stripe's reference numbers for You and Your subscription, the plan, its status and dates, whether the verification fee is paid, and, only when a purchase is refunded because the billing state is outside the offered states, the refund record described in Part II.B(e), with the state and country of the billing address.
Our staff can view the details of a verification, or its report, in the partner's own dashboard when handling a review, a dispute, or a support request; nothing from it is copied to SoloTrueJobs.com systems except the partner's reference numbers, and we record our staff's decision.
Government ID images, biometric data, and Social Security numbers are captured directly by and transmitted directly to the partner through the partner's own interface, are retained at the partner, and are never stored on SoloTrueJobs.com systems. SoloTrueJobs.com stores account credentials, profile data, status flags including item level status flags, and the records described in Part II only. Each partner acts under a written agreement that restricts its use of Your information to performing the service for us and complying with law. We may replace a partner; if we do, we update this Policy before the new partner receives any data, and material changes are notified under Part XIV.
V. USE OF INFORMATION
We use personal information to: (a) create and administer Your account and verify identity, credentials, and business identity through our partners; (b) operate the Platform, including matching verified credentials to posted hard requirements, running the clocks and queues, and delivering messages; (c) process payments, renewals, cancellations, and refunds, including computing eligibility for the No Match Refund from the daily activity record; (d) apply the residence check and geographic availability rules for paid Job Seeker service; (e) enforce the Agreement and detect and prevent fraud, duplicate accounts, and abuse; (f) respond to support requests, revision claims, and disputes; (g) send transactional and legally required notices (renewal notices and verification notices) and, with Your consent where required, product updates You can opt out of; (h) learn which advertising and referrals bring people to the Platform; (i) comply with law, respond to lawful requests, and protect rights and safety; and (j) produce aggregated, anonymized statistics. We do not use personal information to rank, score, or recommend candidates beyond applying posted hard requirements to verified credentials, and we do not use it to train artificial intelligence models.
VI. SHARING OF INFORMATION
We share with the partners that do the work, with other users as the platform is designed to, and with the law when we must. We do not sell your data and we do not share it for anyone's marketing.
We share personal information: (a) with the partners named in Part IV, to perform verification and payments; (b) with other Users as the Platform is designed: a Verified Job Seeker's profile (first name and last initial, city and state, the month the profile was created, the About Me text, verified work history, education, and licenses, and self reported skills) is visible to Recruiters and Businesses, a Job Seeker's full name is shown to a Recruiter or Business with the Job Seeker's application and in any message thread between them, and the name of the person who posted a role and, where the role is posted by a Business, the Business's name are visible to Verified Job Seekers with the role; the members of an organization see each other's names and roles, and its owner sees the email addresses invited to it; Job Seekers are never visible to other Job Seekers; a Solo Recruiter's listed employers are shown to no other User; (c) with service providers that host, secure, email, and support the Platform under written agreements limiting their use of the information, and with Google, which receives the address text You type into an address field so it can suggest completions, and Your IP address and browser details when a page loads; (d) in connection with a merger, acquisition, financing, or sale of assets, with notice to You; (e) to comply with law, a subpoena, or a lawful request, to enforce the Agreement, or to protect the rights, property, or safety of SoloTrueJobs.com, Users, or the public; and (f) with Your direction or consent. We do not sell personal information, do not share it for cross context behavioral advertising, and do not share it with third parties for their own marketing.
VII. BIOMETRIC INFORMATION
Identity verification uses your selfie and a liveness check. VerifiNow derives a facial geometry template from them to confirm you match your ID. You see a written notice and give written consent before capture. The data stays with VerifiNow and is destroyed on its schedule. We never store it.
Identity verification requires VerifiNow to capture a selfie image and a liveness check and to derive from them a facial geometry template, which is a biometric identifier, for the sole purpose of confirming that the person presenting the identification document is the person pictured in it. (a) Notice and consent. Before capture You are shown a written notice stating that a biometric identifier will be collected, the purpose, and the retention period, and You are asked for written consent, which may be given by electronic signature. You may decline, in which case verification cannot proceed. (b) Retention and destruction. VerifiNow retains the biometric identifier only as long as necessary to complete verification and resolve any dispute, under VerifiNow's published retention schedule, after which it is permanently destroyed. (c) No sale or profit. Neither SoloTrueJobs.com nor VerifiNow sells, leases, trades, or otherwise profits from Your biometric identifier. (d) No disclosure. Biometric identifiers are not disclosed to anyone other than VerifiNow and its sub processors necessary to perform verification, except as required by law or with Your consent. (e) Where it lives. Biometric identifiers are never stored on SoloTrueJobs.com systems; we read and keep only the pass or fail result and reference numbers.
VIII. RETENTION
Here is every category of data we hold and how long we keep it. "Life of the account" means until the account is closed or deleted. Where a period runs after closure, it is because the data proves a contract, supports a refund determination, or is required by law.
Acceptance records (date, time, IP, document and version, fingerprint of the text, Terms version, where on the Platform, and the plan, state, price, and charge date on checkout and recurring charge records). Retention: life of the account plus five (5) years. Why: proves contract formation; Florida's limitations period for a written contract is five years.
Account and profile information, including the link to Your Google account and its access token (removed sooner if You disconnect Google). Retention: life of the account. When an account becomes inactive (cancellation or non renewal of an annual plan), ninety (90) days, then deleted or anonymized. When an account is closed for cause, thirty (30) days, then deleted or anonymized. Why: operate the account; ninety day reactivation window.
Item status flags. Retention: life of the account plus thirty (30) days (ninety (90) days for an inactive account). Why: fraud detection and re verification reference.
Signup record. Retention: life of the account; the IP address and browser on it are deleted after 400 days. Why: learn which advertising and referrals bring people to the Platform.
Daily activity record. Retention: 400 days from the day recorded. Why: No Match Refund eligibility, which is determined within the 14 day request window after the 3 month qualifying window, plus time to resolve a dispute.
Web server log. Retention: about 14 days. Why: security and troubleshooting.
Application logs. Retention: bounded by size, not by age: an entry is kept until newer entries push it out of files of fixed size (30 MB and 20 MB), which on current traffic is months. Why: security and troubleshooting.
Refund records for stopped purchases, free verification code records, profile status records, and verification notice records. Retention: life of the account. A code no account entered is kept, with the address it was sent to, for as long as we keep the records of the free verification offer. Why: evidence of why a purchase was stopped, of each code given once, of what You chose and when, and that each notice was sent.
Waitlist entry. Retention: life of the account; removed sooner if You change Your state to one where paid plans for Job Seekers are offered. Why: know which states to open next.
Working records. Retention: email preferences and requests to edit a locked profile, life of the account; the fingerprint of an emailed link, until the link is used or replaced; a sign in session, until You sign out, and a session You do not sign out of stays on record after it expires; the reference numbers of the events our partners report are not deleted. Why: operate the account, and apply no partner event twice.
Solo Recruiter employer records. Retention: each employer stays on Your list until You remove it; nothing on the list is kept longer than Your account.
Messages, applications, invitations to apply, feedback, and conversation histories. Retention: life of the account plus two (2) years; a request to be told when a role reopens is deleted once that notice is sent, when the role closes, or when You withdraw it. Why: enforcement, dispute resolution, and evidence of feedback and clock compliance.
Postings and queue and clock events. Retention: life of the account plus two (2) years. Why: pay transparency records, enforcement.
Payment records (Stripe's reference numbers, the plan, its status and dates). Retention: seven (7) years from the transaction. Why: tax and accounting requirements.
Support, revision claim, dispute, and refund correspondence. Retention: three (3) years after resolution. Why: evidence of handling.
Biometric identifiers. Held by VerifiNow only, per Part VII.
Government ID images and Social Security numbers. Held by VerifiNow and Checkr only, per their schedules; never held by us.
Where a period is stated and the deletion has not yet occurred, a database backup can hold a copy for a short time longer. When a retention period ends we delete the data or anonymize it so that it no longer identifies You, unless a legal hold, an open dispute, or a legal obligation requires longer retention, in which case we retain only what the hold or obligation requires.
IX. RIGHTS AND CHOICES
You can see, fix, download, and delete your information, and you can ask us not to use it in certain ways. Residents of some states have additional rights by law; we honor them for everyone to the extent we can.
(a) Access and portability. You may access Your account and profile information in Your account settings and may request a copy of the personal information we hold about You in a portable format. (b) Correction. You may correct Your account and profile information in settings. Verified items are corrected through the revision claim and dispute process in the Job Seeker Terms, because a verified item changes only when the partner that verified it corrects its finding. (c) Deletion. You may close Your account and request deletion of Your personal information. We will delete or anonymize it within forty five (45) days, subject to the retention periods in Part VIII that run after closure for the reasons stated there, and we will tell You what we retained and why. (d) Your verification report. Checkr makes a copy of Your verification report available to You; we hold no copy of it. (e) Marketing. You may opt out of non transactional email at any time through the unsubscribe link; transactional and legally required notices continue while You have an account. (f) Cookies. See Part XI. (g) Sale, sharing, and profiling. We do not sell personal information, share it for cross context behavioral advertising, or make decisions producing legal or similarly significant effects based solely on automated processing; there is nothing to opt out of, and we will honor any opt out preference signal Your browser sends as a request not to sell or share. (h) Sensitive information. The only sensitive information involved in the Platform is the biometric identifier and the identification data held by our partners, which are used solely for verification and never for any other purpose. (i) State privacy rights. Residents of states with comprehensive privacy laws (including California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, Delaware, New Jersey, New Hampshire, Iowa, Indiana, Tennessee, Kentucky, Minnesota, Maryland, Nebraska, and Rhode Island) have rights to access, correct, delete, and port personal information, to opt out of sales, targeted advertising, and certain profiling, and to appeal a denied request. We extend those rights to every User. To exercise any right, email legal@solotruejobs.com from the email address on Your account. We verify requests through Your account login or, where needed, additional information, respond within forty five (45) days (extendable once by forty five (45) days with notice), do not discriminate against You for exercising a right, and allow an authorized agent to act for You with written authorization. If we deny a request, You may appeal by replying to our response; we answer appeals within forty five (45) days and tell You how to contact Your state attorney general if You disagree.
X. SECURITY
We protect personal information with administrative, technical, and physical safeguards appropriate to its sensitivity, including encryption in transit, access controls and logging, separation of the verification partners' capture interfaces from our systems so that ID images, biometrics, and Social Security numbers are captured by the partners and never stored by us, and vendor agreements requiring equivalent safeguards. No system is perfectly secure. If we learn of a breach of security affecting Your personal information, we will notify You and any required regulator as applicable law requires, including the Florida Information Protection Act, without unreasonable delay.
XI. COOKIES AND SIMILAR TECHNOLOGIES
We use cookies that are strictly necessary to operate the Platform (session, authentication, and security cookies), and one arrival cookie. The arrival cookie is set on a visit You make while not signed in, whether or not You already have an account, and remembers how You arrived: which page You landed on, the name of the site that sent You there, and any campaign tags or campaign address. It holds nothing else. It lasts at most 30 days from when it was set or last replaced, and a later visit replaces it only when the visit it remembers had no campaign source and the later one has one. It is deleted when You sign up or sign in. Until then it is read only to decide whether a later visit replaces it, to pre-select Your answer to "How did you hear about us?" on the signup form when You came through one of our campaign addresses, and to fill Your signup record. We do not use analytics cookies, advertising cookies, or third party advertising trackers. The only outside script on the Platform is Google Maps, which receives the address text You type into an address field so it can suggest completions. Google Maps and Google Fonts are loaded with each page, so Google receives Your IP address and browser details when a page loads. Three things are kept in Your browser's own storage and are not sent to us: the display theme; what You have typed into a form on the organization page and not yet saved, until it is put back or You sign out or close the tab; and copies of up to ten of the last pages You viewed in the tab, kept so the Back button works, until You close the tab. You can control cookies through Your browser; disabling strictly necessary cookies will prevent the Platform from working. We honor Global Privacy Control signals as described in Part IX(g).
XII. CHILDREN
The Platform is for adults. We do not knowingly collect personal information from anyone under eighteen (18). Identity verification requires a government issued identification document. If we learn that a user is under eighteen, we delete the information and close the account.
XIII. USERS OUTSIDE THE UNITED STATES
The Platform is operated from the United States and is intended for Users in the United States. Paid Job Seeker service is available only in the states where paid Job Seeker Packages are currently offered, as shown at checkout. If You access the Platform from outside the United States, Your information is transferred to and processed in the United States, where privacy laws may differ from those of Your country, and You consent to that transfer by using the Platform.
XIV. CHANGES TO THIS POLICY
We may update this Policy. Material changes (a new category of data collected, a new purpose, a new partner that receives sensitive data, a shorter retention period for Your rights, or a longer one for Your data) are communicated by email and by prominent in platform notice at least thirty (30) days before they take effect, and where law requires consent for a new use of previously collected data, we obtain it. Every version carries a version number and effective date, and we retain the version You accepted with Your acceptance record.
XV. GOVERNING LAW AND VENUE
This Policy is governed by the laws of the State of Florida without regard to conflict of laws principles. Any dispute arising out of or relating to this Policy is resolved under the dispute resolution provisions of the Master Terms of Service, and venue for any matter not subject to arbitration lies exclusively in the state and federal courts located in Duval County, Florida, to whose personal jurisdiction You consent.
